MagicInterview helps you know what to say in interviews, meetings and sales calls. To do that it handles some of your most personal material: your CV, your notes and the words of your conversations. This policy explains exactly what we collect, why, who helps us process it, how long we keep it and what you can do about it.
It applies to the MagicInterview website and web app at magicinterview.app and to the MagicInterview apps for iPhone, iPad, Android and Mac. MagicInterview is operated by Agents AI Ltd. ("MagicInterview", "we", "us"). Contact details are in the Legal Notice.
The short version#
- MagicInterview does not join your calls and does not speak for you. Only you see the suggestions.
- Your projects, conversations and sources are saved with your account, and only you can see them. You can delete any of them, or the whole account, at any time.
- If you record a voice sample, we keep only a numeric voice profile, not the recording. You can delete it in Settings at any time.
- We do not store the audio of your conversations. Audio is turned into text and then discarded.
- We do not sell your personal data, and we do not use your conversations or sources to train models.
- Where a feature sends your content to another company, this policy and the Subprocessors page name that company and say what it receives.
Information we collect#
| Category | What it includes | Why we need it |
|---|---|---|
| Account | Your name, email address and a password, which we store only as a hash. Sign-in sessions on each device. | To create and secure your account and to reach you about it, for example to reset a password. |
| Workspace content | Projects, conversations (the words heard, the answers suggested), notes, the sources you add such as a CV or job description, the original files you upload, and your preferences such as language, speech and answer settings, reading size and contrast. | To provide the service and to keep your work in sync across your devices. |
| Audio | Microphone audio, or audio from a browser tab, window or screen you choose to share, while you are listening. | To turn speech into text. Where and how it is processed depends on the speech setting you choose; see "Audio and the microphone" below. |
| Voice profile | A numeric profile of your voice for each language, and how many samples contributed to it. | To tell your voice from the other person's on one microphone. Optional. |
| Subscription | Whether MagicInterview Pro is active, the product, the store it was bought in, the expiry date and the purchase events our subscription provider reports. We never receive your payment card details. | To unlock Pro on every platform you sign in on. |
| Research and practice inputs | The title, organization, role, date and brief of a project, and a short profile taken from your own sources, when you run Research Online. Your spoken answers and the practice interviewer's replies, when you practice. | To research the other party and to run the practice partner. |
| Usage and device data | Product events (for example that an answer was requested, that research started, or that a request failed and with which error code), the platform and app version, pages viewed, clicks, browser and device type, and the IP address your requests come from (used for security and for cookieless visit counting; analytics events do not store it). | To keep the service reliable, fix problems and understand which features help people. |
| Diagnostics | Events about connected AI assistants (the tools they used and how long they took), practice session length, failed password-reset emails and, only if you choose Copy debug log in the app, a snapshot of that conversation's technical state, which can include the most recent words heard and your settings. | To investigate problems you report. |
| Messages to us | The email you send to support@magicinterview.app, including job applications and any CV or links you send, and our replies. | To help you and to consider applications. |

Audio and the microphone#
MagicInterview only listens after you start listening, and it stops when you stop or sign out. What happens to the audio depends on the speech setting you choose in Settings.
- On this device. Speech is recognized by the speech engine built into your device or browser. Which company runs that engine, and whether it processes audio on the device or on its own servers, depends on your operating system and browser, and is governed by their terms. On the web, shared tab audio and audio files are not covered by this option and use MagicInterview Cloud.
- MagicInterview Cloud. Short audio segments are sent to our server, which forwards them to our speech-recognition provider, Groq, to be turned into text. We do not store the audio. The text is saved to your conversation.
- Private model in this browser. A speech model is downloaded once and runs in your browser. The audio does not leave your device.
- Speaker detection with a voice sample. While a voice sample is saved and the microphone is set to detect the speaker automatically, microphone audio is sent to our server to compare it with your voice profile, including when speech itself is recognized on your device. This audio is compared and discarded, not stored.
- Practice. In a practice session your spoken answers are sent through OpenRouter to a speech-to-text model, and the interviewer's replies are written and spoken through OpenRouter. The live practice session on our server exists only in memory and ends after two hours at the latest; for it we keep only its length, mode and number of turns. What was said in a practice run is saved in your account as a practice conversation in the same project, so you can review it, and you can delete it like any other conversation.
How answers are written#
When MagicInterview writes an answer in the cloud, it sends the recent conversation, your notes and the sources attached to that conversation to the answer model you select. Requests are routed through OpenRouter to the company that runs the model. Some text-only requests can be answered through Groq. If you share a screenshot with the coach, the image goes to the answer model as well.
On supported devices you can choose the device's own model (Apple Intelligence on iPhone, iPad and Mac, Gemini Nano on Android). Then the answer is written on your device and the conversation is not sent to an answer provider for that purpose. Some tasks, such as coding sessions on the Mac, still use the cloud, and the app says so in Settings.
Research Online sends the project's title, organization, role, date and brief, plus a short profile drawn from your own sources, to Exa, which searches the public web and returns notes with links. We save those notes in your project.
Your voice sample#
Recording a voice sample is optional. We turn the recording into a numeric voice profile and discard the recording. The profile is used only to tell your voice from the other person's on the same microphone. Solo practice can also refine your profile from your own spoken answers. You can delete your voice sample in Settings at any time, and it is deleted with your account.
Who receives your information#
We use a small number of service providers to run MagicInterview. They process data on our behalf and only for the purposes described here. The full list, what each one receives and where it runs, is on the Subprocessors page. In summary: hosting and database in Germany; OpenRouter and Groq for AI answers and speech; Exa for research; RevenueCat, the Apple App Store and Google Play for subscriptions; our own PostHog installation for product analytics; Google Workspace for sending account emails; and Cloudflare for DNS and email routing.
If you connect an AI assistant to your workspace, that assistant can read and change what you allowed when you approved the connection. Its provider's terms govern what it does with the data it receives. You can revoke a connection in Settings.
We may disclose information if the law requires it, or to protect the rights, safety and security of our users or of MagicInterview. If MagicInterview is acquired or reorganized, your information may transfer to the new owner under the commitments in this policy.
Where your data is processed#
Our servers and database are hosted in Germany. Some providers named above, including OpenRouter, Groq, Exa, RevenueCat, Apple and Google, and the model companies that OpenRouter routes to, may process data outside the European Economic Area and the United Kingdom. Where we transfer personal data to a country without an adequacy decision, we rely on appropriate safeguards such as the European Commission's standard contractual clauses.
How long we keep it#
- Your account, projects, conversations, sources, files and preferences: until you delete them or your account.
- Your voice profile: until you delete it or your account.
- Audio: not stored. Cloud transcription, speaker comparison and practice audio are processed and discarded.
- Practice sessions: the live session on our server is in memory for at most two hours, and we keep only its length, mode and number of turns. The practice conversation saved in your project stays until you delete it or your account.
- Diagnostic events: until you delete your account, which removes the diagnostic events linked to it.
- Subscription records: until you delete your account. Apple, Google and RevenueCat keep their own purchase records under their own policies.
- Product analytics: kept in our analytics workspace for as long as they are useful for understanding the product. You can ask us to delete the analytics profile linked to your account.
- Support email: for as long as needed to help you and to keep a record of the request.
- Job applications: kept for as long as needed to consider them, and deleted on request.
When you delete your account, we delete your workspace, files, voice profile, subscription records, diagnostic events and AI-assistant connections, and your sign-in details. Deletion is permanent. To start it, open Settings in the app, choose Delete account, enter your password and confirm.
Your choices and rights#
You can do most of this yourself in the app:
- Edit or delete projects, conversations and sources at any time, and clear your workspace.
- Delete your voice sample in Settings.
- Delete your account in Settings, using Delete account. If you cannot reach the app, email support@magicinterview.app from the address registered to your account.
- Choose on-device speech or an on-device answer model where your device supports it.
- Revoke any connected AI assistant in Settings.
Depending on where you live, you may also have the right to access the personal data we hold about you and receive a copy, to have it corrected or deleted, to restrict or object to our use of it, to receive it in a portable format, and to withdraw consent where we rely on it. To use these rights, email support@magicinterview.app. We may need to confirm that the request comes from you, and we will reply within one month. If you are unhappy with our answer, you can complain to your local data protection authority.
Children#
MagicInterview is not intended for children under 16, and we do not knowingly collect personal data from them. If you believe a child has created an account, email support@magicinterview.app and we will delete it.
Security#
We protect your data with encryption in transit, server-side handling of credentials and access controls. See Security for details. No system is perfectly secure, so we also encourage you to choose a strong, unique password.
Cookies#
The website and web app use a small number of cookies and similar storage. See the Cookie Policy.
Changes to this policy#
We will update this policy when our practices change. The date at the top of the page shows when it was last updated. If a change is significant, we will tell you in the app or by email before it takes effect.
